In a law firm or accountancy, the work that gets billed and the work that gets done do not match. Gathering paperwork, tracking deadlines, drafting documents that always follow the same structure: hours of qualified people the client never sees and that are rarely charged for. That is where automation pays off.

The problem is not volume, it is fragmentation

A small firm does not have one slow process. It has forty five-minute processes spread through the day, each interrupting something that did require concentration.

That is why perception does not match the numbers: nobody complains about a five-minute task. Added up, they are most of the working day.

1. Deadline tracking

Probably the most valuable item on this list, and not for the time it saves.

What gets built. A system that watches deadlines and alerts in stages: first the person responsible, then the partner if nobody has acted.

Why it matters. The cost of a missed deadline is not measured in hours: it is measured in professional liability and insurance. It is the only process on this list where the return is not efficiency, it is avoiding a disaster.

2. Drafting repetitive documents

Many documents follow a fixed structure where only the case details change. Formal notices, standard replies, procedural filings, client communications.

What gets built. A draft generated from the template and the case file, with the data already inserted.

Why it works. The expensive part is not reviewing, it is starting from a blank page. Starting from a reasonable draft cuts most of the time.

The rule that admits no exception. A draft is a draft. Nothing goes out without a professional reading it. It is not about the quality of the system, it is about liability: whoever signs is answerable.

3. Extracting data from case files

Pulling dates, parties, amounts and references from documents arriving as PDFs, and moving them into a workable format.

It is work done by hand in almost every firm, it has a very clear pattern and it is prone to transcription errors that go unnoticed for weeks.

Where to draw the line. Amounts going into a filing or an invoice should pass through a validation step. Not because the system fails often, but because checking a figure takes seconds and getting it wrong costs far more.

4. Document anonymisation

To publish rulings, share documents with third parties or use cases as training material, personal data must be removed first.

Done by hand it is about 20 minutes per document, and it is error-prone: one surname missed on page eleven of a thirty-page document is enough.

And there is a detail worth knowing: the most common mistake in manual anonymisation is drawing a black box over the text in a PDF viewer. Visually it looks covered, but the text is still in the file and can be recovered by copying it.

5. New client intake

Collecting paperwork, checking nothing is missing, registering in the system and opening the case file. It consumes qualified people's time and barely requires judgement.

What gets built. A form that asks for what is needed depending on the type of matter, flags what is missing and opens the case file with everything inside.

The data protection side

A case file may contain health data, criminal convictions or financial circumstances, each with its own protections. When an automation sends information to a cloud model, that data leaves the firm and reaches a third party.

It is not that you cannot: it is that it has to be done with the paperwork in place. A data processor agreement, a risk assessment and, if the provider is outside the EU, justification of the transfer.

There are three routes, from least to most restrictive: minimise the fields the flow accesses, pseudonymise before anything leaves, or process on-device so the information never leaves the firm's network.

Where to start

With deadline tracking. It has the greatest consequence if it fails, touches the least sensitive data and brings the most peace of mind from day one.

Then extracting data from case files. And only when that works, assisted drafting, which saves the most but also needs the most tuning.
